Introduction

EasyConsign is a software platform for consignment clothing shops. This privacy policy explains what data we collect, why we collect it, and how we handle it.

The data controller is: EasyConsign, KvK no. 87899116, The Netherlands.

Who is responsible for which data?

EasyConsign is the data controller for the personal data of shop owners: your account data.

For the data of your consignors, you as the shop owner are the data controller. EasyConsign processes that data solely as a data processor, on your instructions and under the data processing agreement that forms part of our Terms of Service.

What data we process

We process the following personal data:

Account data: name, email address, business name, and business address, provided when you register.
Consignor data: names, contact details, and payout information for consignors that you register in the system.
Inventory and transaction data: item descriptions, prices, sale records, and payout calculations.
Technical data: IP address, browser type, and device information, collected automatically when you use the service.

How we use your data

We use personal data for the following purposes:

Providing and operating the EasyConsign service.
Generating reports and overviews.
Sending service messages about your account and security.
Improving the platform based on usage patterns.
Complying with legal obligations.

The legal basis is the performance of a contract (Article 6(1)(b) GDPR) for operational data, and our legitimate interests (Article 6(1)(f) GDPR) for technical and security data.

We do not use third-party cookies.

We only use first-party cookies that are strictly necessary for the service to function, such as a session cookie to keep you logged in. We do not place advertising, analytics, or tracking cookies from third parties.

We do not give, sell, or in any other way hand over your information to third parties.

Your data stays with EasyConsign. We do not share, sell, rent, or trade personal data with third parties for their own purposes. The only exception is technical service providers acting as processors on our behalf, such as our hosting provider. They are bound by a data processing agreement and may only process data on our instructions.

We do not use trackers.

There are no third-party tracking scripts, pixels, or analytics tools on EasyConsign. We do not use Google Analytics, Facebook Pixel, or similar technology.

No cookie consent banner required

Because we only place cookies that are strictly necessary for the service to function, we are not required to ask for your consent.

The EU ePrivacy Directive requires consent only for non-essential cookies, such as tracking or advertising cookies. Because EasyConsign does not use any of those, no cookie banner is needed and you will not see one on this platform.

Data retention

We keep your account data for as long as your account is active. After account deletion, we delete personal data within 30 days.

An exception applies to data we are legally required to keep longer. Financial records must be kept for 7 years under Dutch tax law.

In addition, EasyConsign automatically deletes data in these cases:

Deleted items: after 30 days in the trash bin they are deleted permanently, together with their photos.
Photos of sold items: 365 days after the sale. The item and the sales data are kept.
Accounts that aren't used: after 365 days without use we delete the account and the shops of which you are the only owner, with all their data. You will receive an email about this 30 and 7 days in advance. Logging in prevents the deletion.
Record of that deletion: for the emails and the deletion we keep your email address, your shop names and the dates, so we can show you were warned in time. We delete this record after 12 months.

Your rights

Under GDPR, you have the following rights:

Access: request a copy of the personal data we process about you.
Rectification: ask us to correct inaccurate data.
Erasure: request deletion of your data (right to be forgotten).
Restriction: ask us to limit how we process your data.
Portability: receive your data in a portable format.
Objection: object to processing based on our legitimate interests.

You also have the right to lodge a complaint with the Dutch supervisory authority at autoriteitpersoonsgegevens.nl.

Security

We use industry-standard security measures including encrypted connections (HTTPS), access controls, and regular security reviews.

No transmission over the internet is completely secure, but we take all reasonable steps to protect your data.

Changes to this policy

We may update this privacy policy when the service changes. You will receive an in-app notification before significant changes take effect. The latest version is always available on this page.
